Terms of Service

Effective from: 09.07.2026

Plain-language notice. Dental Order is workflow software for dental laboratory work orders. It is not a medical device, does not provide dental or laboratory services, and does not replace professional review. Dictated voice used for Work Order transcription is deleted after transcription; voice chat messages may remain until the related message or Work Order is deleted. Patient identity should be represented by a numeric Patient Code, not by direct patient identifiers.

1. Parties, Acceptance and Scope

These Terms of Service (the “Terms”) govern access to and use of Dental Order, a service operated by Dental Portal SRL (“Dental Portal”, “we”, “us” or “our”). These Terms are concluded between Dental Portal SRL and the person or organisation that creates an account, accesses the Service or uses the Service (the “User”, “Member” or “you”).

By creating an account, accessing the Service or using any functionality of the Service, you agree to be bound by these Terms. If you act on behalf of a clinic, dental laboratory or other organisation, you represent that you have authority to bind that organisation and that the organisation will comply with these Terms.

These Terms should be read together with the Dental Order Privacy Policy and any pricing, subscription, data-processing, support or service documents displayed in the Service or agreed in writing. In case of conflict, mandatory law prevails. If a separate signed agreement applies between Dental Portal and an organisation, that agreement prevails over these Terms to the extent of the conflict.

3. Nature of the Service

Dental Order is a software platform for creating and exchanging dental laboratory Work Orders. The Service may include voice input, automatic speech recognition, structured parsing of dictated orders, messaging, file exchange, push notifications, e-mail notifications, order tracking, role-based access, patient review invitations and other workflow features.

The Service is intended for professional workflow support. Dental Portal does not provide dental, dental-technical, medical, clinical, diagnostic, treatment-planning, laboratory manufacturing or emergency services. Dental Portal is not a party to the professional relationship between a dentist, clinic, laboratory and patient, and is not responsible for the quality, safety, legality or outcome of dental or dental-technical services performed by Users.

The Service is not a medical device, clinical decision-support system or regulated diagnostic tool. It does not diagnose, treat, prevent, monitor or cure any disease or condition, and it must not be used as the sole basis for clinical decisions. Users remain solely responsible for verifying all information, files, transcripts, deadlines, tooth numbers, shades, materials, attachments and instructions before sending, accepting or completing a Work Order.

4. Eligibility, Accounts and Roles

To create an account, you must be at least 18 years old and have full legal capacity to enter into binding agreements. The Service is intended primarily for professional use by clinics and dental laboratories. Patients may interact with limited public or invitation-based functionality, such as review invitations, where such functionality is made available.

You must provide accurate, complete and up-to-date information and must not create an account using false information, another person’s identity or an organisation that you are not authorised to represent. Dental Portal may request reasonable information to verify your role, organisation or authority.

The Service may include roles such as dentist, clinic administrator, laboratory member, laboratory administrator and super-administrator. Available functions depend on the role, organisation settings and applicable plan. You are responsible for all activity performed through your account and for keeping your login credentials confidential.

5. Work Orders, Voice Input and Transcription

Users may create Work Orders manually or by voice input. Voice input may be converted into structured text using automatic speech recognition and parsing tools. The transcript or structured result may include work type, teeth by FDI, shade, deadline, comments and other information relevant to the Work Order.

Dictated voice recordings used only for transcription of a Work Order are deleted after transcription and structuring, in accordance with the Privacy Policy. The resulting text, structured Work Order fields and related order history may remain available until the Work Order is deleted or retained as required by law or legitimate business record-keeping requirements.

If the Service supports voice messages inside an order chat, such voice chat messages may remain stored as part of the chat until the User deletes the message, the Work Order is deleted, the account is deleted, or retention is otherwise required by applicable law or legitimate security, dispute or compliance reasons.

Automatic transcription, parsing and translation are assistive technologies and may be inaccurate or incomplete. Before sending, accepting or performing a Work Order, Users must check and, where necessary, correct all information. Dental Portal is not liable for errors caused by inaccurate dictation, background noise, mispronunciation, transcription errors, translation errors or failure to review the generated output.

6. Patient Codes, Patient-Related Data and Confidentiality

Dental Order is designed to minimise patient-identifying information. Personal data of a patient should be encrypted, coded or otherwise represented by a numeric Patient Code before being entered into the Service. The Work Order should transmit the Patient Code, not the patient’s name or other direct identifiers, unless such information is strictly necessary and lawfully provided by the clinic.

Clinics and laboratories are responsible for ensuring that any patient-related information uploaded to or exchanged through the Service is lawful, necessary, accurate and limited to the purpose of creating, transmitting, completing and documenting a Work Order. Users must not include unnecessary patient identifiers in chat messages, attachments, file names or free-text fields.

User Content may include dental scans, STL files, images, technical instructions and clinical or dental-technical context. Such information may be confidential and may constitute health-related information. Users must process it only for the relevant professional purpose, protect it from unauthorised access and comply with applicable professional secrecy, health-data, data-protection and contractual obligations.

Dental Portal does not sell personal data and does not use patient-related data, Patient Codes, dental scans, STL files, clinical notes, Work Order chat content or Work Order history for advertising, retargeting, advertising profiling or disclosure to advertising networks.

7. User Content, Files and Attachments

Users retain their rights in User Content. By uploading, dictating, transmitting or otherwise making User Content available through the Service, you grant Dental Portal a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, transmit, display, process, transcribe, translate and otherwise use such User Content only to the extent necessary to provide, secure, maintain, improve and support the Service, comply with legal obligations and enforce these Terms.

You are responsible for ensuring that User Content is lawful, accurate, non-infringing and appropriate for the intended workflow. You must not upload malicious code, unlawful content, content that infringes third-party rights, misleading information, or files that you are not authorised to share.

Dental Portal may apply technical limits to file size, file type, storage volume, retention and transmission. Dental Portal does not guarantee compatibility, manufacturability, clinical suitability or production readiness of STL files, scans or other attachments. The receiving clinic or laboratory remains responsible for checking each file before relying on it.

8. Messaging, Reviews and User-Generated Content Moderation

The Service may allow Users to exchange messages, attachments and comments related to Work Orders and may allow clinics to invite patients to leave reviews. Users must ensure that such invitations and messages are lawful, accurate, respectful and compliant with applicable professional, consumer-protection, advertising and data-protection rules.

Users must not submit fake reviews, incentivise misleading reviews, impersonate another person, publish defamatory content or use the Service to harass, threaten, abuse or unlawfully discriminate against others.

The Service includes user-generated content functionality. Dental Portal may remove, restrict or disable access to content, accounts or functionality where it reasonably believes that content or conduct violates these Terms, applicable law, third-party rights or the safety and integrity of the Service. Users may report unlawful or abusive content by contacting ceo@dentalportal.pro or use the feedback form on the main page of the personal account.

9. Prohibited Conduct

10. Paid Services, Subscriptions and Recurring Payments

Some features may be free, and some features may be offered as Paid Services. Prices, included functionality, usage limits, billing periods, taxes, renewal conditions and cancellation methods will be displayed in the Service, in the relevant app store flow or in a separate agreement before purchase.

Recurring payments or subscriptions are activated only with the User’s explicit consent. By enabling a recurring plan, you authorise Dental Portal, the applicable app store or the relevant payment service provider to charge the applicable fees for each billing period until the plan is cancelled in accordance with these Terms and the checkout terms displayed to you.

For Dental Portal-managed recurring billing, cancellation must be completed before 00:00 (midnight) at the beginning of the next billing period in the time zone shown in the account, checkout or invoice settings. If no time zone is shown, the time zone of the Republic of Moldova applies. If cancellation is made after that moment, the next billing period may be charged and the cancellation will normally take effect from the following period, unless mandatory law provides otherwise.

For subscriptions or purchases managed by Apple App Store, Google Play or another app store, cancellation, renewal, refund and billing management are governed by the applicable app store rules and account-management tools. Deleting the mobile app or deleting a Dental Order account may not automatically cancel an app-store subscription; Users must cancel through the relevant app-store subscription settings where applicable.

Fees already charged are non-refundable except where required by mandatory consumer law, app-store rules, payment-provider rules or a separate written agreement. Dental Portal may change prices or plan features prospectively. If a price increase or material plan change requires consent under applicable law or app-store rules, the change will take effect only in accordance with such requirements.

11. App Store, Google Play and Mobile Application Terms

If you download or use a Dental Order mobile application through Apple App Store, Google Play or another distribution platform, the platform’s terms, payment rules and account-management tools may also apply. These Terms apply between you and Dental Portal, not between you and Apple, Google or another platform provider, except where platform rules provide otherwise.

The mobile application is licensed, not sold. Subject to your compliance with these Terms, Dental Portal grants you a limited, revocable, non-exclusive, non-transferable licence to install and use the application on devices that you own or control, and as permitted by the applicable app-store usage rules.

Dental Portal is responsible for the Service, support and maintenance to the extent required by these Terms and applicable law. Apple, Google and other platform providers are not responsible for providing maintenance or support for the Dental Order application unless their own terms state otherwise.

Where Apple’s minimum end-user licence terms apply, Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you. You represent that you are not located in a country subject to a U.S. Government embargo or designated as a terrorist-supporting country and that you are not listed on any U.S. Government list of prohibited or restricted parties.

Where platform rules require in-app purchase or platform billing for digital content or digital functionality, Dental Portal will use such platform billing or another permitted billing method. Where a transaction concerns physical goods, physical services, regulated clinical services, business-to-business services or other categories for which platform billing is not required or not permitted, Dental Portal may use other lawful payment methods.

12. Consumer Rights and Right of Withdrawal

Where you qualify as a consumer under applicable law, you benefit from mandatory consumer rights that cannot be waived by these Terms. In the European Union, this may include pre-contractual information rights and, for certain distance contracts, a 14-day right of withdrawal.

The right of withdrawal may not apply, or may be lost, where the service has been fully performed with your prior express request and acknowledgement, or where digital content or digital services have begun with your prior express consent and acknowledgement that the right of withdrawal will be lost, as provided by applicable law.

Business Users, clinics, laboratories and professional accounts may not benefit from consumer rights unless mandatory law states otherwise. Nothing in these Terms limits any non-waivable rights that apply to you.

13. Account Deletion, Termination and Suspension

Users may request account deletion through the in-app account settings where available, through the web account-management page where available, or by contacting ceo@dentalportal.pro. Account deletion and data deletion are handled in accordance with the Privacy Policy and applicable law. Certain data may be retained where necessary for legal, tax, accounting, security, fraud-prevention, dispute-resolution or legitimate business record-keeping reasons.

You may stop using the Service at any time. Dental Portal may suspend, restrict or terminate access to the Service, an account, an organisation workspace or specific functionality if Dental Portal reasonably believes that the User has violated these Terms, failed to pay fees, created legal or security risk, infringed third-party rights, misused patient-related data or caused harm to the Service or other Users.

Where the Digital Services Act or other applicable law requires a statement of reasons, complaint process or other procedural rights, Dental Portal will provide such information and process complaints in a timely, non-discriminatory, diligent and non-arbitrary manner. Complaints may be submitted to ceo@dentalportal.pro.

14. Service Availability, Updates and Support

The Service is provided on an “as is” and “as available” basis. Dental Portal uses reasonable efforts to maintain the Service, but does not guarantee uninterrupted, error-free or permanent availability. The Service may be unavailable due to maintenance, updates, infrastructure failures, cyber incidents, force majeure, third-party provider issues or other reasons.

Dental Portal may modify, improve, update, suspend or discontinue any feature of the Service, provided that such changes do not unlawfully deprive Users of mandatory rights or paid functionality for which they have already paid without an appropriate remedy required by law.

Support requests may be sent to ceo@dentalportal.pro. Dental Portal may provide different support levels depending on the User’s plan, role, organisation agreement or applicable service package.

15. Intellectual Property

All software, source code, object code, design, interfaces, databases, documentation, trademarks, logos, texts, graphics and other materials created by or for Dental Portal are protected by intellectual-property laws and remain the property of Dental Portal or its licensors.

Except for the limited licence expressly granted in these Terms, no rights are transferred to you. You must not copy, modify, distribute, sell, lease, sublicense, frame, mirror, reverse engineer or create derivative works from the Service, except to the extent permitted by mandatory law.

If you provide feedback, suggestions or ideas about the Service, Dental Portal may use them without restriction or compensation, provided that Dental Portal does not disclose your confidential information or personal data except as described in the Privacy Policy.

16. Privacy, Security and Confidentiality

Dental Portal processes personal data in accordance with the Privacy Policy. The Privacy Policy explains the categories of data collected, the purposes of processing, legal bases, processors, international transfers, security measures, retention, account deletion and data-subject rights.

Users must maintain the confidentiality of Work Orders, patient-related information, professional correspondence, account credentials and organisation data. Users must immediately notify Dental Portal if they become aware of unauthorised access, credential compromise or a security incident involving the Service.

Dental Portal may implement technical and organisational security measures, access controls, logging, monitoring, rate limiting and abuse-detection mechanisms to protect the Service, Users and data. Users must not attempt to disable, evade or interfere with those measures.

17. Disclaimers and Limitation of Liability

To the maximum extent permitted by law, Dental Portal disclaims all warranties not expressly stated in these Terms, including implied warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted operation, error-free performance and accuracy of automatically generated content.

Dental Portal is not responsible for clinical decisions, dental treatment, dental-technical manufacturing, laboratory quality, patient outcomes, deadlines agreed between Users, payment disputes between clinics and laboratories, incorrect files uploaded by Users, incorrect instructions, transcription errors not reviewed by Users, or any professional service performed outside Dental Portal’s direct control.

To the maximum extent permitted by law, Dental Portal shall not be liable for indirect, incidental, special, consequential, punitive or exemplary damages, loss of profit, loss of revenue, loss of goodwill, business interruption, loss of data or cost of substitute services. Where liability cannot be excluded, Dental Portal’s aggregate liability is limited to the amount paid by the User to Dental Portal for the Service during the three months preceding the event giving rise to the claim, unless mandatory law requires a higher amount.

Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by law, including liability for intentional misconduct, gross negligence, death or personal injury caused by negligence, fraud, or mandatory consumer rights.

18. Indemnity for Business Users

If you use the Service on behalf of a clinic, laboratory or other business, you agree to indemnify and hold Dental Portal harmless from claims, losses, liabilities, damages, fines, penalties, costs and expenses arising out of or related to your User Content, professional services, patient-related data uploaded by you, breach of these Terms, violation of law, infringement of third-party rights, payment disputes with other Users, or misuse of the Service.

This indemnity does not apply to the extent a claim is caused by Dental Portal’s own unlawful conduct, gross negligence or intentional misconduct.

19. Commercial Communications and Service Notifications

Dental Portal may send service notifications that are necessary or useful for the operation of the Service, including account, security, order, chat, deadline, review-invitation, payment and system notices. Service notifications are not commercial marketing communications.

Dental Portal sends commercial electronic communications only where it has a lawful basis to do so, such as prior consent or an existing-customer soft opt-in permitted by applicable law. You may unsubscribe from marketing communications at any time by using the unsubscribe link, account settings or by contacting ceo@dentalportal.pro.

20. Changes to these Terms

Dental Portal may amend these Terms from time to time when the Service changes, when new features are introduced, when legal or platform requirements change, or for other legitimate reasons. The updated version will be published in the Service or on the website with an updated effective date.

Where a change materially affects your rights or obligations, Dental Portal will provide reasonable notice where required by law. Continued use of the Service after the effective date of the updated Terms constitutes acceptance of the updated Terms. If you do not agree with the updated Terms, you must stop using the Service and may cancel your account or subscription as described in these Terms.

21. Governing Law, Jurisdiction and Disputes

These Terms are governed by the substantive law of the Republic of Moldova, without prejudice to mandatory consumer protections that may apply under the law of the country where a consumer is habitually resident.

For non-consumer disputes, the courts of mun. Chișinău, Republic of Moldova, have exclusive jurisdiction, unless a separate written agreement provides otherwise. Where the User qualifies as a consumer habitually resident in the European Union, the User may also benefit from mandatory jurisdiction rules of the country of habitual residence.

Without limiting the generality of the foregoing, the following regional rules apply: (a) United States. Users habitually resident in the United States of America benefit from any mandatory federal or state consumer protection laws of their state of residence. Disputes involving such Users may be brought in the state or federal courts located in the State of Delaware, USA, or, where mandatory law requires, in the courts of the User's state or county of residence. (b) India. Users habitually resident in India benefit from the mandatory provisions of Indian law, including the Information Technology Act, 2000 and the Consumer Protection Act, 2019. Disputes involving such Users may be brought in the competent courts of New Delhi, India, or, where mandatory law requires, in the courts of the User's place of residence or business. (c) Latin America. Users habitually resident in any country in Latin America benefit from the mandatory consumer protection and data protection laws of that country. Disputes involving such Users may be brought in the competent courts of that country, without prejudice to Dental Portal's right to bring proceedings in Moldova where permitted by law.

Users and Dental Portal will attempt in good faith to resolve disputes informally before initiating court proceedings, unless urgent injunctive relief, debt recovery, fraud, security or mandatory legal requirements justify immediate action.

22. Miscellaneous

Force majeure. Dental Portal is not liable for failure or delay caused by events beyond its reasonable control, including cyber attacks, infrastructure failures, telecommunications failures, power outages, natural disasters, epidemics, war, governmental measures, strikes, lock-outs or failures of third-party providers.

Severability. If any provision of these Terms is found invalid or unenforceable, the remaining provisions remain in full force and effect, and the invalid provision will be replaced by a valid provision that most closely reflects the original intent.

No assignment. You may not assign or transfer your rights or obligations under these Terms without Dental Portal’s prior written consent. Dental Portal may assign these Terms in connection with a merger, acquisition, restructuring, sale of assets or transfer of the Service, provided that your mandatory rights are not reduced.

Entire agreement. These Terms, the Privacy Policy and any documents expressly incorporated by reference constitute the agreement between you and Dental Portal regarding the Service.
